Privacy Policy
1. Overview
Finn Financial Manager ("the App") is a private internal application operated by Pure Maintenance of Alaska LLC ("we," "us," or "our"), located at PO Box 1942, Palmer, AK 99645. This Privacy Policy describes how we access, use, store, and share information through our connection to Intuit QuickBooks Online.
2. Who This Applies To
The App is restricted to authorized personnel of Pure Maintenance of Alaska LLC. It is not a public application and is not available to outside parties. QuickBooks records used by the App can include information about our customers and vendors.
3. Information We Access
Through the QuickBooks Online API, the App accesses:
- Invoices, payments, and accounts receivable
- Profit and loss and cash flow data
- Customer and vendor records as they appear in QuickBooks
- Account balances and transaction history
The authorization used by the App carries both read and write capability at the API level. The QuickBooks client used by the App for production access has no methods for creating, modifying, or deleting QuickBooks records.
The App is not designed to retrieve personal health information, payment card numbers, or Social Security numbers.
4. How Information Is Used
Data accessed from QuickBooks is used solely for internal financial monitoring, reporting, and operational management of Pure Maintenance of Alaska LLC. We do not sell or rent this data, and we do not disclose it to third parties for their commercial purposes.
5. Third-Party Services That Receive QuickBooks-Derived Data
Anthropic, PBC. QuickBooks data is passed to Anthropic's Claude AI model through its API for analysis and report generation. See Anthropic's Commercial Terms and Privacy Policy.
Telegram. Financial summaries and reports generated from QuickBooks data are delivered to authorized personnel through Telegram messaging. These messages may include customer names and invoice details.
Email. Reports may be delivered by email to rsmith@puremaintenance.com.
6. Data Storage
Authorization credentials are stored in owner-only permission files (Unix permissions 600) on a FileVault-encrypted Mac workstation located in Palmer, Alaska. The files themselves are not separately encrypted. The workstation is owned by the owner of Pure Maintenance of Alaska LLC and is also used for other business operations.
QuickBooks data is retrieved on demand. Financial data referenced in AI-generated reports or summaries may be retained in session logs and memory files on the same workstation for operational continuity. Dollar amounts in memory files on the workstation are redacted after 90 days by an automated daily process, as described in Section 7. Customer names and invoice numbers in those files are not automatically redacted. Session logs maintained by the AI platform are stored locally on the same workstation and are kept until manually deleted.
7. Data Retention
Authorization tokens are retained while the App is connected to QuickBooks. After disconnection, the system administrator revokes them with Intuit and deletes them from local storage.
Financial data in session memory files on the workstation is retained for 90 days. A scheduled automated purge runs daily at 2:00 AM and redacts dollar amounts from memory files older than 90 days. Memory files are not committed to version control backups.
Financial summaries delivered by Telegram or email remain in those services until deleted by the recipient.
8. Security
- OAuth 2.0 token-based authorization, with no QuickBooks passwords stored
- Credential files restricted to owner-only permissions
- Full-disk encryption on the workstation
- A production QuickBooks client with no write methods
9. Disconnecting the App
To disconnect the App from QuickBooks, contact rsmith@puremaintenance.com. The system administrator will revoke authorization tokens with Intuit and remove stored credentials from the workstation.
You may also disconnect from within QuickBooks Online through the connected apps list in your QuickBooks settings. Disconnecting from within QuickBooks does not automatically delete credentials stored locally, so contact rsmith@puremaintenance.com to confirm full removal.
10. Changes to This Policy
We may update this Privacy Policy as the App evolves. Changes will be communicated to authorized users directly.
